The Union Station boardroom is Destination Toronto's largest meeting space with the standard setup seating up to 24 people. The meeting space is also versatile, having built-in audio, moveable tables, and a large, retractable projection screen.
Need more than one meeting space? Union Station has a divider that can split the room. Please give the Office Manager at least 24 hours notice. Please note shutting down instructions for when you are finished using the space.

- Turn on the A/V system using the touchpad (see additional directions for touchpad below).
- Connect your device using one of the HDMI cables (see additional directions for HDMI below).
- Start your meeting app.
Controls for selecting camera, microphone, and audio output for a meeting are found in the video conferencing software (Meet, Teams, Zoom etc.).

Using the Projector and Screen
- If the Touchpad appears off, it is sleeping. Touch it to wake it up.
- Select Use Projector.
- Depending on where you will be presenting, select an HDMI cable (see additional directions under HDMI Connections):
- HDMI Floor
- HDMI Table
- While the system is turning itself on, connect the HDMI cable to your device.

Two HDMI connection options are available in the Union Station Boardroom:
- On the credenza, between the two doors.
- Between the boardroom tables, on the floor pedestal.

The Meeting Owl is an interesting and exciting spin on conference cameras. This device sits in the middle of the conference table and takes a full 360 degree view of the room. Built in software searches for and frames meeting participants, highlighting them when they speak. The Meeting Owl also handles microphone and speaker duties, providing clean, feedback free audio.
The Union Station boardroom is currently the regular home for Destination Toronto's two Meeting Owls.
Ensure the Meeting Owls, found in the center of the conference tables, are plugged in and power them on (they will need a moment or two to start up) then follow the directions below:
- Connect USB from the Meeting Owl to the USB on your laptop.
- Once connected to your laptop, you will need to select the Meeting Owl within the conference software.
- The Meeting Owl will appear as a secondary camera, microphone, and speaker system.
- There is a mobile app for Android and Apple. This app is not required to use the Meeting Owl, but it does offer further control of the device:

- On the Use Projector screen, buttons to manually control the screen are in the lower left corner.

The Picture Mute button, to the right of the screen control buttons, will "black out" the projector image, without actually turning the projector off.

The Union Station boardroom uses HDMI connections for video/audio. Basic volume controls can be found on the Touchpad Controller.
More advanced control can be found in Audio Settings from the Touchpad Controller Home screen:
- Privacy Mute in Audio Settings will mute the built in room microphones. The status lights will turn red.
- When dividing Union Station, use the Uncombine Rooms button to disconnect the smaller room's microphones and speakers.
If there are video/audio signal issues, please check the following:
- Is the system using the correct HDMI input? Use the touchpad to select the correct HDMI connection.
- No audio? Use the touchpad to adjust the volume and mute settings, and ensure the volume is up on your presentation device.
- Contact Tom for further assistance if required.

- End your meeting.
- Disconnect the HDMI cable from your device.
- Turn off the A/V system using the touchpad.
- Using the power bar, please turn off the Meeting Owls when your meeting is complete.
